GREAT NORTHWEST DAY COMMITTEE MEETING
AUGUST 27, 2009
NOON—BANK MIDWEST, CAMERON

Lee Langerock, Co-Chair of Great Northwest Day, called the meeting to order at 12:10 p.m. She asked that all members present introduce themselves and tell what county/community they represent. There were 25 members who made introductions.

REVIEW OF GNW EVENT
Lee thanked everyone for making the time to be present at the meeting. She gave a brief overview of the Great Northwest Day by explaining the origin of the event—a project several years ago from the Leadership Northwest class. The mission of this project has always been to let our representatives KNOW that we are HERE (we being defined not just by community but by the northwest region!). In presenting a ‘snapshot’ of the event, she explained that the night before the GNW Day a small group of GNW members meet with our legislators to have a personal discussion on the issues that are being presented for their attention. The next morning the GNW delegation is introduced on the House and Senate side which is followed by an Issues Luncheon. Throughout that afternoon, communities have the opportunity to make appointments and visit with their respective legislators. The evening culminates with a Mardi Gras-themed showcase for communities/counties to which the legislators are invited. The following morning a breakfast provides the opportunity for review and briefing.

Lee asked that county coordinators start paying attention to what issues our counties are facing and which ones should be presented which would be representative of all northwest Missouri. She encouraged us to enjoy the GNW Day event and know that our work here, during this planning stage, really matters.

BUDGET REVIEW AND CONFIRMATION
Lee asked the membership to turn to the 2009 budget and, with the assistance of Mark Garges, Treasurer, she took the group through the budget line by line. After reviewing and discussing all expenses, she asked that Mark work up a 2010 budget and send it out via email to all committee members. The budget will then be approved at the October meeting.

Points of discussion regarding expenses were:

  • Blue Orleans Band is booked
  • Tye noticed that the budget said $40 per attendee. Mark corrected this to $50 per person.
  • Considerable discussion on the topic of regulating the number of legislative assistants who come to the Mardi Gras event. It was suggested that each legislator receive TWO tickets and he/she can decide who in the office will receive the tickets. If he/she feels that more tickets are needed, Kathy Morgan will supply the requested number. Tickets should be sent three weeks in advance of the event with the reminder. Make ticket about postcard size. Number the back so ticket can be associated with the respective legislator. It was suggested that the ticket bear the GNW logo. Registration Committee will work out the details and get back with the group.
  • County Coordinators should remind their people that the gifts at the community booths are for legislators.
  • Pre-Event Dinner by invitation only.

Since there will not be a sponsorship report until the next meeting, the Revenue part of the Budget has been tabled.

COMMITTEES

SPONSORSHIP
Lisa and the Sponsorship Committee will discuss the community sponsorship amount but it was suggested that it not be raised to $700.00. Because last year’s sponsorship amount was down, Lisa will be asked to communicate directly with the communities and ask them to remain (or return to) their original level of sponsorship. Tom Bliss will not be able to serve on the Sponsorship Committee. Steve Schieber volunteered to co-chair this committee with Becky Cleveland. Shellby suggested that communities provide Becky and Steve with a list of prospective sponsors. Ralph suggested that the Beef and Pork Council be approached.

REGISTRATION 
It was suggested that we wait until sponsors are secured before we discuss raising the registration fee per attendee. Mark G did suggest that we look into the implementation of a late fee for those who register at the last minute. Shellby asked about paying on-line. Kathy M is looking into this.

ISSUES
County Coordinators were asked to get the Issues to the committee in a timely fashion. According to the event timeline, issue forms from each community/county are due November 7, with the issues being forwarded to local media after December 7.

CONFIRM COUNTY COORDINATORS
A list of all the members of the steering committee and county coordinators was presented. Additions and corrections were made regarding email addresses and names of persons in charge.

September 24 has been scheduled for the County Coordinator Training session. It will take place after the NW Roundtable meeting—at noon at the Midwest Bank.

SET MEETING DATES
Committee members were asked to review the Timeline and Important Date sheet. With the help of the membership the following dates were defined:

September 24—County Coordinator Training (see above)
October 22—GNW Steering Committee—noon—location TBA
October 28—County Coordinator deadline for letters to councils, commissions, etc.
November 3—First news release from PR committee
November 10—Issues form due from community/county.
November 17—GNW Steering Committee Meeting
December 7—Issues Release
December 3—GNW Steering Committee – Time and location TBA
December 18—Community Sponsorship pledge forms due
January 8—Program Template to County Coordinators
January 15—News Release
January 25—(this is tentative) GNW Steering Committee
January 25—Deadline for participant registration
January 25—Payment from Communities due!
February 2—GNW Day at the Capitol
February 3—Breakfast
February 6—Post Event News Release
