Steering Committee Meeting
November 17, 2009
1:00 p.m.—CITY HALL, CAMERON

Becky Cleveland, Co-Chair of Great Northwest Day, called the meeting to order at 1:00 p.m. Those also in attendance were: Lisa Luke, Lisa Macali, Linda Gray-Smith, Paul Hamby, Shellby Hendee, Kathy Morgan, Tye Parsons, Steve Johnston and Marcia Cunningham. Becky presented the minutes for review and approval. Kathy Morgan moved that they be accepted as presented and Lisa Macali seconded the motion. The minutes stood approved. It was suggested that the minutes be sent out to all the membership prior to the meetings. Marcia will send them to Becky, Lee and Lisa first. Once reviewed, Lisa Macali will send them to the others.

BUDGET REVIEW AND CONFIRMATION
In the absence of Mark Garges, the updated budget was passed out by Lisa Luke. Particular attention was paid to the sponsorships, noting that money was already coming in. Touchstone had sent $500 more than budgeted, which was very good news. However, Citizens Bank and Trust responded that they would not be able to be a corporate sponsor ($1500) this year, as they have in the past. Bank Midwest was suggested as a sponsor. It was noted that Mark Garges had begun conversations with Bank Midwest regarding the credit card payment. Becky said that she would talk to Mark before pursuing this.

COMMITTEE REPORTS

REGISTRATION 
Kat reported that, as previously mentioned, online registration is set up but that the feasibility of the credit card option is still being researched by Mark G and Steve Shieber. When concerns arose about whether the $2000 expense of the credit card payment option was justifiable, Lisa L reminded the group of the conversation from the last meeting on the importance of staying relevant and current. Several cities or counties have asked if on line payment is available. More information on that will be forthcoming.

SPONSORSHIP 
Much of the conversation dealing with this category took place in the Budget portion of the agenda. However, it was noted that, since Citizens Bank and Trust has always sponsored the band which plays at the Mardi Gras evening celebration, perhaps it might be worth checking to see if another corporation wants to step up to this level of sponsorship.

FINANCE –No report

MARKETING/COMMUNICATIONS
Lisa M reported that on November 3rd the first press release was sent to county coordinators. The next one, which will list the issues, will go out on December 7th.

EVENT
Lisa Luke reported that everything is on track. Natalie had emailed Tye and said that they would be meeting within the next couple of weeks. Natalie will not be able to attend the December 3rd meeting but will be at the January meeting. Community sponsorship forms are due on December 18. Lisa Macali will send a reminder out after Thanksgiving. Payment of sponsorship is due January 25th, 2010.

Paul Hamby has been asked to check with Shatto Dairy to see if they would be interested in two things—1) setting up a cheese-tasting table next to the wine tasting table at the GNW Day evening event and 2) providing 250 “gift” samples of cheese at a cost of no more than $3.00 each to use as a giveaway for legislators this year.

ISSUES
Issues will be discussed at the December 3rd meeting.

Becky spoke to the group about the Highway 36 Alliance. Several years ago Highway 36 becoming 4-lane all across Missouri was a legislative issue at GNW Day. The Alliance has been formed with the intention of promoting tourism and economic development along that corridor. St. Joe, Cameron, Hamilton, Chillicothe, Brookfield, Marceline are all communities that participate in the GNW Day (and the Alliance) and Becky spoke about the possibility of organizing our booths in a row (as they would appear on Hwy 36) so as to give the legislators a ‘visual’ of this promotion. Shellby and Linda, whose communities are involved, were in favor of the grouping. The consensus of the steering committee was to move forward with this idea.

OLD BUSINESS

Kathy M. reminded everyone of the dollar amount which was decided upon at the last meeting regarding local media participation and costs. Media should contact Lisa Luke to let her know if they plan to attend.

Becky reminded everyone of the next meeting—December 3—and thanked everyone for being in attendance. The meeting was adjourned.
